Geoff Smith Associates are proud to unveil CycINI, which enables the management of internal and external requests for the IMPACT Nominal Index, The system has been developed at the request of a number of leading Forces to offer a paper free automated process.
The system comes with a fully integrated WorkFlow engine and CYCLOPS Document Management. The solution may be configured to integrate with third party systems including local Intelligence systems. As with all CYCLOPS Business Solutions, CYCINI interfaces to third party products such as email, fax or mobile devices such as PDA or Blackberry.
This solution eliminates existing manual paper based processes. For internal requests, Officers complete web based e-Forms that have an intuitive and easy to use look and feel. A management interface then provides full request management for your SPOC/Case unit. |

IMPACT Results are automatically uploaded into a Form template, and external requests are generated with the necessary request template automatically completed and emails sent to external Forces. Response emails to requestors are automatically generated, with viewable copies available in the VIEWER.
External requests from other Forces are completed on the standard Excel template form and uploaded to automatically generate a request Record. |

The solution also manages/creates all the statistical/data returns produced as part of the normal IMPACT process. The solution provides complete request tracking facilities including traffic lights so that progress of all outstanding requests may be quickly and easily monitored. |

GSA’s solution includes the automatic creation of forms and documents from templates: which are available to view in the CYCLOPS VIEWER. The system interfaces to fax and email gateways for real-time transfer of requests and response data. Responses to Requests are also generated automatically on standard emailed forms back to originating Officers and requesting Forces.

As with any system that handles sensitive data and documents, the built in assurances of CYCLOPS Business Solutions remain constant: with audit trails, and permission enabled access. GSA’s solutions benefit from a complete visual Version History and documented Version Control with document Check Out and Check In features. Document and request access is permission enabled to user level. |

Repeat requests are easily identified as the system includes meta-data searching of both request and document meta-data and a free text searching module can be purchased, enabling word-searching within scanned images and type-written document text. Search results can be filtered, exported, emailed, and document-filter searched. |
The integrated document management module allows the capture and storage of all associated documentation including letters, statements, generated template documents, forms, and scanned or faxed images. Any electronic image file type can be saved including fax files, emails, digital photos, all Microsoft Office files, CAD drawings, and tif / jpg images.

Request Records can be created, updated and completed with the ability to create DIARY Notes, create and manage TASKS, email, print, create template letters (with merge facilities and full version control) and export data (in a variety of formats). |
