CycINI is a Software Tool from Geoff Smith Associates providing a complete IMPACT Nominal Index Request Management and Disclosure system which has been developed to be automated and paper free for the management of internal & external IMPACT Nominal requests.

SystemDetails:

The CycINI solution from Geoff Smith Associates provides a Disclosure and Information Request Management solution enabling Request Tracking from receipt to finalisation for Internal and External Requests for the IMPACT Nominal Index; whilst recording all key actions undertaken, available information and final disclosures whilst also recording response timeliness. The solution provides time and cost saving benefits from efficiencies gained through the use of the system in that our customers tell us that although their workload is increasing, the benefits of the system enable them to cope with the increasing workload with existing staff levels. The system was developed with serving Officers at West Midlands Police to offer a paper free automated process. The solution has an underlying automated Business Process with comprehensive Document Management and integration /interfacing options to Force systems and mobile facilities.

IMPACT Request Management
This solution eliminates existing manual paper based processes, processes are automated wherever possible and all actions are recorded in the Log Tab and Audit Trail with all generated documentation being stored in the integrated document management. For internal requests, Officers complete web based Request e-Forms that have an intuitive and easy to use look & feel. The web forms are configured to provide a corporate look and feel. A management interface then provides full request management for the SPOC/Case unit. IMPACT Results are automatically uploaded into a

Form template, and external requests are generated with the necessary request template automatically completed and emailed to external Forces. Response emails to requestors are automatically generated, with template documents saved. External requests from other Forces are completed on the standard Excel template and uploaded to automatically generate a Request Record.

The solution is MoPI Compliant for the life cycle of all data and documents with full Meta Data and Free Text searching for all system data and typed document content. All the statistical/data returns are produced by the system and the system is provided with comprehensive Request handling functionality and includes a range of related functions including full Document Management, Nominal Management, Tasking, Authorisations, Redaction, automated Template Generation and duplicate checking. The solution enables all related information and key actions to be recorded, all related documents, files and emails to be retained and all requests and disclosures recorded. The solution integrates to the IMPACT web application and extracts data into Cyclops and as standard, system access is permission enabled down to user, record and document level.
