Geoff Smith Associates Ltd, Law Enforcement specialists are proud to announce the availability of another new Cyclops based solution. CycComms a complete RIPA compliant solution for managing the authorisation process of requests for communications data. The application has been designed and developed in partnership with serving Police Officers for ease of use and for a focussed and effective paper free business process.

The system comes with Cyclops Electronic Document Management System and fully integrated workflow engine allowing potential use for other areas of the business. The solution utilises our Infobase application development platform to deliver a complex business solution with powerful scripting capability and ease of interfacing to other 3rd party products such as email, fax or mobile devices such as PDA or Blackberry.

The solution has the following features:

• Intuitive Web Based Wizards lead the applicant through the request process with fully context sensitive and customisable help guiding the applicant through each stage.
• SPOC Management console for the management of all outstanding requests with the ability to quickly and easily assess submissions.
• Ability to return requests to the applicant for re-work, re-submission or cancellation.
• Workflow based approach ensuring request is routed accordingly around the organisation in line with Regulation of Investigation Powers Act of 2000. Email is used for automated notification to officers of their outstanding tasks to perform.
• Integration with OFCOM data for automated determination of appropriate CSP.
• Real-time checks of built-in subscriber database to automatically detect duplicate and repeat requests.
• Approval and Rejection processes handled via Designated Persons workflow.
• Automatic creation of documents from templates, Application, SPOC Report, Designated Persons Report, Notices and Authorisations, Cancellation Notice.
• Interfaces to fax and email gateways for real-time transfer of notices to CSPs.

• Complete Cyclops electronic document management solution allowing all supporting documents to be retained with OCR and free-text content searching.
• Results from CSP captured and retained within the system for complete analysis and searching.
• Ability to automatically return results to applicant via web interface.
• Support for Out of Hours requests to be logged via a one page quick entry submission screen.
• Operational database allowing the grouping and tracking of requests for operations and establishing access rights to that operation.
• Security of access ensured at all times on an individual, request and operational level.
• Complete auditing of all transactions within the process for complete security and trace-ability.
• The workflows within the system can be quickly and easily modified through a GUI interface to ensure that any changes, whether they are force specific requirements or legislative changes can be quickly applied. The workflow engine is also capable of being utilised for other force business processes.

The CycComms solution is based upon the Cyclops range of products that are in use in a large number of UK Police forces including Leicestershire, West Midlands, Cleveland, Hampshire and Greater Manchester amongst others.
