Cyclops XTRACT is an innovative DATA CAPTURE Power Tool from Geoff Smith Associates’ CYCLOPS Suite of products that has been proven as a versatile, cost effective, data capture power-tool, readily customisable to each Policing customer’s requirements and the specific demands of the application. The Capture Tool is available in a number of off the shelf formats which include Police Form Processing of Street Encounters, Stop & Search, Crime, HoRT, PND and RTA forms and for corporate customers Invoice Processing and Business Forms.
In essence the Cyclops Xtract solution offers customisable options which can include capture and recognition of data and images from Police Forms, a validation, correction and checking process and then storage of the form record and image within a customised Cyclops Record and Document Management system. Cyclops Xtract offers a range of Capture options including: Scan capture of Document Images, capture of Bar Codes, capture ICR Hand Printed Text and OCR machine printed text or Key From Image capture. The Recognition data is validated and verified to ensure quality of data including the use of pre-set Business Rules, Dictionaries, Constrained Field Masks, different Character Sets and address checks interfacing to other software such as QAS and Compass. This capability to ‘read in context’ also provides data purification during the capture process to ensure its accuracy. The 'read' data is available for manual operator checking and correcting in the CORRECTION Program which provides an image assisted reject/repair module for Exception Items raised during the Recognition stage. The InfoBase and Document Management systems are MoPI compliant enabling lifecycle management of Form Records and Form Images. Comprehensive Record and Document Meta Data and Free Text search facilities enable word-searching within all system data, scanned images and type-written document text. All search results can be filtered, exported, emailed, and document-filter searched. As standard, system access is permission enabled down to user, record and document level. The Document Management is PD0008 evidential acmissibility compliant and any related document, image, email or file can be additionally stored. All form images and other related stored documents can be viewed, searched for, collated, copied, emailed, printed, exported and redacted as required. Cyclops XTRACT may be configured as a stand-alone data capture solution or combined with its off the shelf sibling products including Cyclops InfoBase (a customised data management tool used for case and request management), Cyclops Document Management and Cyclops WorkFlow enabling automation of Business Processes. The Software Toolset combine to provide a coherent document and content management solution that not only archives document images but understands their contents and controls the processing. |

Cyclops XTRACT includes an Application Designer which allows Super Users to manage existing forms and set up Form Processing for new Forms. Generally designated Super Users are trained in the use of this tool and for our existing customers this has proved a flexible and cost saving tool. It ensures the processing of forms can be updated to accommodate new forms and update revised forms. All Cyclops XTRACT Solutions are provided with the Administrator Software Tool which provides Supervisors and Administrators with the ability to monitor, manage and maintain the progress of work flowing through the Xtract Programs. It enables full management down to Batch, Image and to Data level including the Import, Recognition, Correction, Export and Archive Stages which can be achieved using the flexible filter and search options. Additionally the Tool provides the ability to monitor work flow and accuracy at indiviual and Group level and furthermore provides a comprehensive graphical and statistical reporting element. For IT Technicians the SQL Query provides facilities for querying the Database Tables. |
