CycMoPA has been developed to record and manage archived boxes and their contents of Case Files, Pocket Books, HR Personnel Files etc.
		Know What Documents & resources are Archived
		CycMOPA enables the recording of the file and resource contents of storage boxes which are destined for archive storage. From that point on, the life cycle and actual life history of the Box and its contents are managed by the system.

		With Police Forces increasing their use of external companies to manage archived files and resources, the costs of retrieval of items means Forces need to know and actively manage boxes and their contents.

		This application has been developed and is now in use with a large UK Police Force. It easily assists Forces to comply with MOPI in that it enables the retention of accurate, relevant and accessible information. It enables traceability of archived items.

Create the Box Record - Create the Box Record as soon as you begin packing a Box for storage. This is the start of recording the life history of this Box, and what happens to it! Record the Box Contents - Enter the details of each file or item placed in the storage Box, Anything can be stored including Case Files, Crime Files, Pocket Books, CD, DVD, audio tapes, video tapes, microfiche, HR Personnel Files, etc. Contents Audit Log - An Audit Trail will record everything that happens to each of the items in this storage Box and the Box itself, including sealing the Box. Any emails, documents, template letters associated with the Box or its contents can be stored. Items can be added to a Box, they can be viewed, edited, or even removed from a Box.
A searchable Status field follows each Box from Preparation, to Sealing, to storage, (with any other stages in between if the box or its contents are retrieved), and finally to Destruction.
Searching on CycMoPA Crucial to any system is the ability to find Box Records quickly and effectively. The searching options in CycMoPA ensure that all data contained in any field of the system is searchable, including the typed content of documents (through OCR).
The Screen print shows the MAIN Tab for a Box Record which contains a summary of all important facts about the Box including:
Box Contents, Box Action History, Box STATUS, Relevant Buttons relative to the STATUS.
