What the suite does
Statutory work, kept to the letter

Requests for information and disclosure, security vetting, firearms licensing and archived records: statutory processes with time clocks, checks and decisions that must be evidenced long after they were taken.
Three statutory processes, each with a clock on every case. Freedom manages requests for information and disclosure: Freedom of Information, subject access and right of access, EIR and Access to Health Records, each with its own process and deadline. Vetting records every vetting request, check, decision and renewal, from recruitment vetting to developed vetting, against the national vetting standards. Firearms runs licensing casework from application to certificate, integrated with NFLMS.
What the three share is the shape of the work: a request arrives, a clock starts, checks are made and documented, a decision is taken that may be questioned years later, and the whole file must be producible in order. The platform underneath gives each the same answer: configurable workflow, integrated document management with redaction and version history, time clocks and reminders, and an audit trail to the standard the courts expect.
The suite reaches beyond policing. Half of UK police forces run Freedom, and so do NHS trusts, ambulance services, local authorities and universities, because the legislation binds every public authority the same way. Firearms is in use at ten forces, and Vetting at force and national agency level.
How a case runs
One record
Built to work together
- One document store, with redaction and version history, across all three products
- Statutory and internal deadlines tracked as time clocks, with automated reminders
- Decisions, rationale and correspondence kept as the record of the case
- PD 0008 admissibility and role based access to user, record and document level
Where it sits
On the same platform as everything else
Information Management shares Cyclops with the other two suites: the same workflow engine, document store and audit trail, so a force that runs one product already has the ground for the next.
